Travel

Organizations not abiding by the policies set below may assume personal liability for any and all damages or injuries that result. This section is applicable and must be completed for all types of travel.

If your organization wishes to travel off campus or out of state, an Engage Event Request must be submitted well in advance of the travel.

  • Off Campus event in the Greater Boston Area, submit the Engage Event Request 3 week in advance.
  • Travel throughout Massachusetts, submit the Engage Event Request 3 weeks in advance.
  • Travel out of state that requires potential conference registration, hotels, car rentals, or flights, submit the Engage Event Request 5-6 weeks in advance.
  • International Travel, please book a meeting through the CSI Booking Calendar.

Types of Travel:

Domestic Travel

 

Submit an Engage Event Request. This is the first step for your travel to be approved.

  • All student organizations traveling must appoint a student trip leader. This trip leader must be on the organization’s executive board and communicate with CSI before the date of the trip.

Each attendee of your trip must complete the following:

If the organization’s travel is outside of the Commonwealth of Massachusetts, each student taking part in the trip must complete “myTravel Plans” via the myNortheastern portal prior to departure. Failure to have a completed entry in “myTravel Plans” is considered to be in violation of the “General Expectations” section of the Student Code of Conduct.

Charter Bus

 

Student Organizations are required to have their travel approved by CSI prior to submitting a Van Request. This process is started by submitting an Engage Event Request. It must be approved before you can request a charter bus.

How to Request a Bus

  • Submit a Bus Request Form on Engage or by visiting the SABO website 4 weeks prior to the date of travel to maximize chance of availability.
  • SABO will liaise with the Transportation Department to obtain a quote and remit back to the requester.
  • The Requester will confirm they want to move forward with the bus Reservation and SABO will reserve the bus on behalf of the group.

Within a few weeks of your trip, you will receive an invoice from the bus company or SABO. Please submit a SABO Vendor Payment Request to pay for the trip. Late Payments are subject to additional charges.

Northeastern Vans

 

Student Organizations are required to have their travel approved by CSI prior to submitting a Van Request. This process is started by submitting an Engage Event Request. It must be approved before you can request a van.

  • The driver of the van must complete the Driver Certification process (see below) prior to requesting or reserving the van 8 weeks prior to date of travel to maximize chances of availability. Vans are Free so availability is limited.
  • Submit a Van Request Form on Engage or by visiting the SABO website after certification process is completed
  • SABO will liaise with the Transportation Department to see if a van is available for the desired date within 5 business days.
  • If the van is available, SABO will approve the Van Request Form to reserve the van.

Picking up the Van

  • Certified driver should bring their driver certification card and NUID card to pick up keys to the van from Campus Police (716 Columbus Ave).
  • Vans can be picked up on lower level of Renaissance Park Garage.

Rental Vehicles

 

Students are permitted to reserve rental vehicles for the purpose of travel as it relates to student organization business. However, 15-passenger vans are prohibited.

Student Organizations are required to have their travel approved by CSI prior to submitting a rental request. This process is started by submitting an Engage Event Request. It must be approved before you can rent a vehicle.

  • All liability will be the responsibility of the traveler and vehicles cannot be reserved under the name of “Northeastern University”
  • Vehicle rentals cannot be direct billed to a student organization account, nor can it be paid for in advance
  • All vehicle rentals must be paid for by an individual and then reimbursed upon completion of the trip
  • The rental contract, clearly indicating the total amount paid, should be submitted in the Direct Pay Request Form
  • Student organizations are strongly encouraged to purchase collision damage waiver insurance.

Air Travel

 

Student Organizations are required to have their travel approved by CSI prior to purchasing any flights. This process is started by submitting an Engage Event Request.

Organizations are required to meet with a member of SABO before reserving flights to discuss the process and arrange payment. Expedia is the preferred airfare reservation vendor at Northeastern 

International Travel

 

Northeastern University partners with an external vendor to provide travel and country information, education and awareness, and incident response to University international travelers while traveling on University business. These travel services work in conjunction with Northeastern’s safety and security, risk management and international travel programs. When you travel on a University sponsored program, you will have access to many resources ranging from medical referrals to lost passport assistance.

Policy on Travel to High-Risk or Sanctioned Destinations

Northeastern University is committed to the health, safety and security of all members of the university community. As a global institution, our community members undertake travel for many reasons such as teaching, research, academics, consulting, service, athletics, cocurricular activities, experiential learning and business purposes intended to advance the mission of the university.

This policy establishes requirements, standards, and expectations associated with university travel to high-risk and/or sanctioned destinations, as defined below, and outlines institutional support designed to reduce personal and institution risk and further the university’s global mission.
