Contracts

A contract is REQUIRED whenever your organization hires and pays performers, service providers, or for the use of facilities off-campus. A student or advisor should NEVER SIGN ANY KIND OF CONTRACT. Such arrangements are a legal obligation between the business or performer and Northeastern University. This may even be applicable if no money is being exchanged.

Why Do We Contract?

  • To protect your organization and Northeastern University by determining who is legally and/or financially responsible.
  • To identify the services being rendered and any payments changing hands.
  • To guarantee payment to the vendors.

External Performers

Student organizations are encouraged to hire Pretty Polly Productions, a local talent buying and concert/event production company, if they are planning a large-scale event with contracted performers on or off campus. Pretty Polly has been working with Northeastern student organizations and the Center for Student Involvement for many years and is an invaluable resource when navigating the offer, contracting, and event production processes.

The use of Pretty Polly Productions is required whenever a student organization is working with a talent agency to contract an external performer. Examples of talent agencies include, but are not limited to:

When to submit a Pre-Contract Form

All pre-contract forms should be submitted on NU Engage at least 6 WEEKS PRIOR to an event or service date.

    How to submit a Pre-Contract Form

    In order to submit a pre-contract form on NU Engage, you will need an invoice or quote, the billing name and contact information for the vendor, and the vendor’s agreement (if applicable). Instructions on how to submit a pre-contract form can be found here.  

    Some services may also require a Certificate of Insurance depending on the type, price, and scope of services. If you have questions about insurance requirements for your organization’s event, please reach out to NUCSIContracts@northeastern.edu.  

    Contracted Payments

    All contracted payments are processed after services are rendered via Purchase Order. All contracted vendors are required to have up-to-date supplier profiles in Intellibuy, the Northeastern contracting platform. New vendors will be prompted to complete a supplier registration before a contract can be executed or payment can be made. For additional information about supplier registrations in Intellibuy, please reference the Northeastern Finance Website.

    Frequently Asked Questions

    How can I check the status of an agreement?

    You can check the status of an agreement in workflow with this tracking board. You will need the CSI reference number assigned to your contract. Alternatively, you can email your reference number to NUCSIContracts@northeastern.edu.

    Can you expedite our agreement? Why does the process take so long?

    Since the contracting process involves multiple other offices on campus, we are unable to expedite the review or processing time of any particular agreement. 

    How do contracted vendors get paid?

    All contracted payments are processed via Purchase Order. In order for vendors to receive timely payments, it is critical that they have an up-to-date supplier profile in Intellibuy, the Northeastern contracting platform. 

    How can I pay a Northeastern community member (student, staff, or faculty)?

    Organizations will need to work with the Student Employment Office and/or Human Resources to pay Northeastern students, faculty, or staff. These payments cannot be made with SAF funding.

    What if my speaker and/or performer is not being paid?

    If you are bringing an external speaker, workshop facilitator, or performer to campus and they are volunteering their time (not being paid), you will need to use an Honorary Speaker or Honorary Performer Agreement. Please download and fill out the template, have an organization member sign the second page, and have the speaker sign the other line on the second page. Once the agreement has been fully signed, please share it with NUCSIContracts@northeastern.edu prior to your event date.

    *Please note that this is one of the only instances in which your organization is able to sign an agreement on behalf of your organization.*

    What if my organization wants to show a movie? Do we need to buy the rights?

    Copyright laws require that your organization pay for the rights to films and videos from a licensed distributor when screening in a public place.

    Northeastern has a master agreement with Kanopy, meaning that all titles on this site are free for your organization to stream without a pre-contract form or additional fees. Please select “Find Your University” and write “Northeastern University” to see the selection. 

    For quotes from other licensed distributors for the rights to screen other films or documentaries, please check out:

    The following are NOT considered licensed distributors and do NOT qualify as paying for the rights to a film:

    • Purchasing the film on DVD
    • Renting from the library (Northeastern or local)
    • Online streaming services (such as Netflix, Hulu, YouTube, etc.)

    If vendor sends me terms, can I sign them myself?

    .Northeastern students, faculty, and staff do not have the authority to sign on behalf the university. Only folks that have been granted signatory authority from the Board of Trustees have that power. More information can be found here.
